Organizing your inventory for success
As you know, WAAVE doesn't need you to remove items from your site just because we do not allow processing for a specific vertical, instead, we reject them at a compliance level. This allows you to still sell them as long as they are paid via cash or e-check.
When a payment is stopped due to compliance rules we call them "Compliance Blocks"
These blocks protect you and the acquiring and issuing back from inadvertently breaking the law at a Federal, State, or City level.
How do I know if a product was rejected?
All the info you need is in your Dashboard. Login with your credentials and go to > Compliance

You can see what items have been approved, rejected or are still pending review.
Do I have to notify WAAVE of any new items I publish?
Absolutely no need to notify us. The WAAVE team can see your changes and will review them on the same day.
We do our first approvals at 8 am Pacific, and the second inventory pull at 5 pm. You might want to update your inventory prior to those two scheduled reviews.
How should I organize my inventory?
Organizing your inventory correctly is the BEST WAY to avoid unnecessary Compliance Blocks. We suggest you organize it this way:
Main Categories define the vertical. If you have an item with two components, you must include both categories (for example CBD-enhanced Kratom must be under Kratom and CBD)

Important:
- CBD and 0% THC CBD are two different categories try to not mix them.
- If you have a category such as "ALL PRODUCT" make sure that all items under that catchall also have a Main Category.
TAG-Categories work like a tag, meaning they give the product an attribute such as Capsules or Edible or Pain Relief. We call them sub-categories because they don't define the product's vertical.
For example Edibles, you can have Kratom gummies & CBD mints.

Any category that is more of an attribute is a Tag-Category for WAAVE
- You should not have items marked only with a Tag-category if they don't also have a Main Category the product will suffer unnecessary blocks
- Avoid creating the same category multiple times
- Do not use UNCATEGORIZED. All items under this title will be automatically blocked
- Do not rename existing categories, create NEW ones and archive or delete the categories you don't use. By renaming existing categories you run the risk of accidentally assigning multiple rules to a product, causing unnecessary blocks
Where should I publish my COAs?
COAs are required for all hemp products. CBD, Delta 8, and Flower all need a valid COA.
The specific COA for that product must be on the correct product page as a link or as an image.
DO NOT use links that go to a folder with all your COAs in it, we will not accept this setup.
Always use a valid COA, a COA is valid if:
- It is issued by a third-party lab
- It is not older than 12 months
- It has the exact name of the product on it, if you have flavors, each flavor must have a unique COA
- It has your company name on it. If you didn't send the sample for testing but a supplier/vendor did, you must provide us with an invoice that shows the relationship between your company and the supplier.

It is very important that you organize your inventory based on these rules, failure to do so might result in a loss of sales due to unnecessary compliance blocks
